advice from a pro

Make Your Dinner Feel Like a Special Occasion

  • Most people think table styling means choosing linen, plates, and glasses.
  • But it’s not just about making sure everything looks color-coordinated, themed, or pretty.
  • Yes, those are all important factors,
  • but event professionals think about more than just the aesthetic.
  • It’s the creative twists, personal touches, and clever little details that shape the guest experience and make a dinner feel like a special occasion.
  • The table is the heart of any dinner, the place where guests may spend hours,
  • so the environment not only has to feel inviting and look good the moment they sit down,
  • but it’s also an opportunity to add some purposeful details that
  • celebrate the guest of honor,
  • engage and entertain guests,
  • create atmosphere,
  • and give them something to talk about, share, and remember.
  • And that’s just as true whether you’re celebrating at home, a restaurant, or a venue.
  • While restaurants and venues might provide the basics; plates, glasses, linen, maybe a centerpiece,
  • none of this will make your celebration any different from just another meal out,
  • how special it feels is still down to you.

01 Personal touches

Pretty is Superficial. Personal has Meaning

  • You don’t want your table design to just be superficially beautiful –
  • Something that could have been designed for anyone.
  • A well-styled table says you have good taste;
  • Personal touches say you actually care about the people sitting at it.
  • So whether it’s celebrating the guest of honor with
  • a custom caricature cookie party favor at each place setting,
  • or party hats featuring cute, funny, or embarrassing old photos of them;
  • or surprising guests with thoughtful details chosen with them in mind,
  • such as custom portrait place settings,
  • or a 3D laser-cut place card spelling out their name,
  • when you make it personal, you make it special.

02 Activities & ice-breakers

When Guests Sit Down, the Energy Goes Down

  • Even the liveliest, most boisterous party can turn flat and subdued the moment guests take their seats for dinner –
  • a room full of people chatting and mingling suddenly narrows down to the ones sitting either side of them,
  • who they might not even know.
  • So, some simple ice-breakers, activities, or games incorporated into your table design,
  • such as a printable ‘How Well Do You Know [the guest of honor]?’ quiz or ‘Fun Facts You Might Not Know About [Name]’ napkins,
  • help guests skip over the usual polite introductions, awkward silences, and “so what do you do?” questions,
  • to kick-start more fun and engaging conversations,
  • which in turn creates buzz and atmosphere that brings the energy back up.
  • Similarly, interactive props or party favors,
  • such as custom fan faces or temporary tattoos,
  • that encourage guests to play around or take photos at the table,
  • help everyone relax a little, even when they’re having to sit up straight, squeezed between two people, for hours on end,
  • so sitting down doesn’t mean the energy has to go down.

How to Keep Guests Entertained During Dinner

  • Event professionals often plot the arc of a party, from start to finish,
  • creating ‘beats’ or moments to keep guests engaged all night,
  • so that they continue to discover and experience new things as the party unfolds.
  • As dinners sometimes drag on for hours,
  • guests can easily start to get a little restless,
  • so consider revealing an activity, conversation-starter, or party favor with each course,
  • to keep them entertained throughout.
  • You might initially leave a Table Topics conversation-starter card at each place to help break the ice.
  • Then when the charger plate is removed after the first course, it could reveal a ‘Fun Facts You Might Not Know About [Name]’ napkin hidden underneath.
  • Following the main course, you could make a short speech to thank everyone for coming and then instruct them to look under their seats,
  • where you’ve previously stuck a printable ‘How Well Do You Know [the guest of honor]?’ quiz.
  • Following dessert, you could have the waitstaff deliver a take-home party favor related to the meal they’ve just enjoyed,
  • such as a miniature pot of the artisanal honey that was used throughout the menu.
  • There are lots of creative ways you can continue to reveal activities and conversation-starters once guests are at the table,
  • such as under centerpieces, folded inside napkins, printed onto custom wine bottle labels, inside a balloon tied to the back of their chair,
  • or even delivered by you as you go around to greet each table and thank them for coming.
  • Injecting these little bursts of activity throughout dinner keeps the energy up and the guests engaged, so they don’t get restless or bored.
