Card Boxes

the idea

Provide a box at the entrance for guests to leave cards so neither they nor the host has to carry them during the event

the how

  • Choose between acrylic, wood, or cardboard
  • Choose colors
  • Customize with your choice of name(s)
  • Alternatively, customize the text of a decal sticker to apply to an acrylic box of your own
  • Display alongside a printable ‘Cards & Gifts’ sign on a table at the entrance

the why

welcome area décor & activities

  • Welcoming; you can’t always greet everyone on arrival, but you can still give them a warm welcome
  • Efficient; free’s up the host to mingle and enjoy the party rather than monitor the door
  • Acknowledgement; ensures guests still get a proper reception and feel acknowledged on arrival
  • Orientation; helps guests know what to do and where to go next (useful in venues)
  • Informative; time saving way to communicates practical information regarding cloakrooms, bathrooms, table plan, guest book, gift/card table, and the event’s social media hashtag
  • Flow; diffuses crowds, prevents bottlenecks, and helps manage flow when multiple guests arrive at once by giving them multiple things to engage with
  • Service; gets a first drink into guests’ hands without them having to wade through to the bar
  • Ice breaker; allow guests to ease in with a few activities before walking into a room full of people
  • Introductions; allows guests who don’t know many people or are arriving alone to connect with others before entering
  • Conversation-starters; funny, creative, or quirky welcome activities give guests things to discuss
  • Atmosphere; a few initial activities, party favors, or photo ops immediately creates atmosphere

the why

this idea

  • Special occasions should feel special; generic ‘off the shelf’ decorations are lazy and unimaginative
  • Personalized; customized decorations are more special and show you made an effort
  • Safety; ensures cards don’t get misplaced or thrown away so guest of honor can read them later
  • Elegant; lends your decorations an elegant and sophisticated touch
  • Professional; attention to detail lends an air of professionalism
  • Inexpensive; boxes start at $25 or custom decal stickers are around $4
  • Reusable; customize with name only to reuse for future birthday/anniversary parties

ADVICE FROM A PRO

Matt’s tip

Matt James professional event planner

“I can’t tell you how many birthdays and weddings I’ve organized where we find cards scattered around the venue at the end of the night. And these are just the ones my team find.

In reality, with most event clean-up being performed by exhausted, low-paid, temporary catering staff in a rush to get home after being on their feet for 10+ hours, I think it’s safe to assume that many more are likely just thrown out with the rubbish.

This happens because guests insist on handing cards to the guest(s) of honor when they first see them, no matter what they might be doing or where they are. Then, rather than carry them around, the host ends up putting them down somewhere and forgetting to retrieve them later.

So, if you want to ensure these tangible memories aren’t lost, I recommend giving guests some instructions on where to leave cards.

Some of the card boxes on this page are surprisingly inexpensive, starting around $25 for acrylic and £35 for a custom wooden box. But even if you don’t want to invest some of your budget in a box, at least consider a $4 decal (click image in carousel below) to apply to your own box and a printable ‘Cards & Gifts’ sign to ensure everything is left in one place.”
