Portrait Place Cards

the idea

Surprise guests with a hand-drawn portrait of themselves as their place card, complete with a personal message, that doubles as a favor to take home.

the how

  • Personalization. Send a clear, close-up reference photo of each guest, along with their name.
  • Personal message. Many sellers can add a short personal message or shared memory under each guest’s name, usually kept to a line or two so it fits the card.
  • Format. Most listings deliver a digital file you print yourself at a local print shop; however one seller will ship a physical card directly to you.
  • Style. Portraits come as line-art or watercolor-style digital illustrations, or as a hand-drawn caricature, depending on the seller.
  • Sizes. Cards run from around 3.5 x 2 inches for a small folded card, up to 8.3 x 11.7 inches for a larger, frame-ready size.
  • Proofing. The seller that produces physical cards sends a proof before shipping, but for digital files you’ll need to inquire.
  • Lead time. Digital files take 7-21 working days after receipt of photos, depending on how many guests need illustrating; a physical, hand-shipped card requires approx. 2 – 3 weeks.

the why

WHY This Idea?

  • Functional; as well as being a party favor, it serves a practical purpose at the event by indicating where guests should sit.
  • Décor; in addition to its functionality, each portrait enhances the table’s styling and décor.
  • Wow factor; adds an unexpected level of detail and personalization that will impress guests.
  • Valued; a custom-made portrait signals to guests that they were thought of, not added at the last minute.
  • Unique; by capturing each guest’s face, not just their name, the place setting feels entirely custom-made for them specifically.
  • Personal message; a favorite memory or words of appreciation included under each guest’s name creates a touching, heartfelt moment unique to each guest.
  • Inclusive; every guest gets the same personal treatment usually reserved for the guest of honor.
  • Elegant; the hand-illustrated style lends your place settings an elegant, sophisticated, and personal touch.
  • Keepsake; guests can take their portrait home as a memento of the event.
  • Unusual; a less common alternative to handwritten or printed place cards that guests will not be expecting.

the why

Why You need party favors

  • Purposeful; a favor should serve a purpose at the event; to create atmosphere or enhance the design and double as something guests will eat or use afterward.
  • Atmosphere; interactive favors that guests use, wear, play with, or photograph themselves with at the event create buzz and atmosphere.
  • Conversation starters; use them to create talking points and help break the ice, especially at seated dinners.
  • Event design; use favors to add a creative twist, personal touch, or clever little detail to your party.
  • Appreciation; guests might have dressed up, arranged childcare, traveled, and bought a gift so a thoughtful party favor is a small way to show your appreciation.
  • Memorable; personalized favors or ones that evoke a specific memory of the occasion are the ones guests remember.

ADVICE FROM A PRO

Matt’s tip

Matt James professional event planner

“Some sellers offer the option to customize each card to match your event’s theme or style, incorporating names, event name / date, table numbers, or a personal message for each guest.

I particularly love the idea of including a personal message for each guest as a way to thank them for celebrating with you by reminiscing over favorite memories you’ve shared. e.g.

‘Midnight pizza, panic before exams, and now this — you’re part of all my best memories.’

It’s such a thoughtful and poignant way to show your appreciation and it makes each place card truly unique.

If budget permits, you could also pop the portraits into small decorative frames and leave on each place setting — which will prevent them getting damaged or smudged during dinner — and turn them into an even more special keepsake.
